Spare Parts Module

In the automotive industry, more than ever, optimizing spare parts inventory and pricing policies has become a pressing necessity. The Spare Parts Module in the NEXUS application offers a modern and efficient solution for managing stock and warehouses (parts catalog, acquisition management, consumption, stockroom, inventory methods like FIFO/LIFO/CMP, stock movement history, reports, etc).

Features

• Module configuration - includes the possibility of defining the spare parts used within the program (their import is possible in the extent there is an available database).
• It allows operation with multiple warehouses.
• It permits the user to launch orders for spare parts (monthly and special), as well as the visualization of the launched orders. The orders can be edited directly from the main module window or from the concluded contracts.
• It permits the registration of the arrivals of spare parts shipments, by creating specific documents (NIR - Entry-Acceptance Note). These documents can be created manually or automatically on the basis of the invoices accompanying the shipment.
• It allows for the automatic or manual allotment of parts per the opened contracts in a waiting queue (with ordered lines).
• It corrects the NIR's entered in a wrong manner and the potential differences between the NIR and the received invoice.
• It creates documents for the transfer between managements.
• It creates documents for the parts' temporary and final deletion from the management (generates Delivery Notice, Handover Notes, Consumption Notes). Different methods are used for the deletion of parts from the management (CMP,FIFO,LIFO).
• It maintains records of parts per types defined by the user (batteries, tires, paints, etc.).
• Each part has a separate sheet with all the necessary data (code, type, suppliers, stock, sale price, reserved quantity, distribution per storehouses, parts reserved per contracts as well as the number of parts from the reserved ones which have already been delivered to the mechanic for repairs, available parts).
• It permits the search in the parts list with the help of configurable filter, following: Code, Description, Type, Existing Stock and Existing Circulation, Price.
• It permits the access in "Part Sheet" Report to the following information; Date of Circulation, Type of Circulation (entry/deletion), Stock details (stock/reservations in progress), Unit price, Stock value, Entry price.
• Creates parts sale contracts.
• It reserves parts following their allotment on contracts (repairs, spare parts, guarantees, etc.).
• It announces the user when the reserved spare parts arrive.
• It allots the spare parts per contracts on the basis of reservations.
• Maintains records of the unfinished production (parts in service).
• It permits the allotment of discounts (general, client-based, part-based, etc).
• It permits the achievement of an inventory and correction documents for the already created ones within the inventory.
• It supplies a replacement system between the items together with the afferent contract allotment mechanism [see specifications].
• Updates part prices based on the exchange rate

Reports

• Stock value - represents the stock value (at a stock price or sale price) from all storehouses or per each separate one.
• Spare parts in stock - spare parts in stock as at the current date from all storehouses or per each separate one. Available information: part code, description, quantity, entry price, total value at entry price, and total value at sale price, commercial addition.
• Storehouse sheet - indicates all circulation of a spare part. The user must select a storehouse, a spare part code, a period of time and the system will display the following information: circulation date, document type, document number, circulation type (entry/deletion), stock details (in stock/reserved/in progress), unit price, value, entry price (EUR), CMP evolution.
• Stock documents central register - it centralizes data regarding the stock documents (NIR, correction notes, transfer, consumption, handover notes, delivery notice).
• Unfinished production - presents information regarding the spare parts being utilized in Service department. The system displays the following information: part code, description, contract/note number, date, quantity, and stock price, value.
• Parts on the shelf - presents information regarding the location of the parts existing in the storehouse, depending upon their denomination tags.
• Entry values per suppliers - analytic and synthetic. Presents information (analytically or synthetically) regarding the entry values depending upon the supplier and the selected period.
• Balance - information regarding the stock circulation, after selecting the year and month parameters. In case there are none, initial balances can be defined.
• Part sales per client - after selecting a particular period of time, contract type, spare part type, client, the system displays the following information: contract number, contract date, parts value.
• Internal consumption notes - it is a central register for internal consumption notes. After selecting a particular period of time, the employee (to whom the note was issued), the storehouse, the system displays the following information: part number, part description, quantity, price, value, date, and contract type.
• Deletions per internal contracts - indicates all parts allotted to internal contracts (own vehicles). After selecting the period of time, the storehouse, the system displays the information grouped per vehicle or department: part number, description, quantity, price, value, date, and vehicle/department.
• Permite accesul din Raportul "Fisa Piesei" la urmatoarele informatii: Data miscarii, Tipul miscarii (intrare/iesire), Detalii stoc (stoc/rezervari.in lucru), Pret unitar, Valoarea stocului, Pret intrare.

Integration

The Spare Parts Module works in conjunction with the Service Module, and both can be purchased separately. However, their full benefits are realized when integrated with the Financial Module, which automatically processes all data between Spare Parts and Service and integrates it into accounting.
